Automate order coordination with suppliers, logistics partners and customers

Fulfilling a single order can involve several communication steps: confirming the order with the customer, placing it with a supplier, receiving a production or readiness date, coordinating transport, updating the customer and checking that nothing is delayed.

A large part of this coordination can be handled with Claude.

Using Claude Cowork, Connectors and clear working rules, Claude can collect information from different sources, identify the next required action, prepare messages and keep track of the order status.

At the beginning, we recommend using an approval-first workflow: Claude reads and organises the information and suggests actions, while emails or other external actions are only carried out after you approve them.

Example workflow

Imagine that you have received a customer order.

You now need to:

  1. check the order information;
  2. place the order with the supplier;
  3. receive confirmation from the supplier;
  4. coordinate pickup with the logistics partner;
  5. update the customer;
  6. monitor whether anything is delayed.

Instead of preparing each message separately, you can ask Claude to coordinate the whole sequence.

What you need

Depending on your process, you can connect:

  • Gmail – for orders and replies
  • Google Drive – for price lists, order documents or supplier information
  • your calendar – for deadlines
  • other systems you use, if they are supported by Claude connectors

If some information is stored in an ERP, CRM or another system that you cannot connect directly, you can start by providing it as a file or exported spreadsheet.

From assistant to automation

At the beginning, the safest workflow is:

Claude reads → suggests → human approves → action is taken.

Once the process has been tested and you clearly understand which actions are safe to automate, some steps can be moved into scheduled tasks or a more integrated AI automation solution.

For example, Claude could check every morning which active orders are still waiting for a supplier reply or have a delivery deadline approaching.
